Position Overview:
The Women’s Center is seeking a full-time Practice Manager to oversee the daily administrative and operational functions of our practice. This role plays a critical part in ensuring a smooth and efficient experience for both clients and staff. The Practice Manager will supervise front-end operations, manage practice systems and workflows, and support organizational growth through data analysis and performance monitoring.

This position works closely with the leadership team and serves as a key point of coordination for staff, providers, vendors, and operational partners.

Key Responsibilities:
Operations:
  • Hire, train, supervise, and evaluate front-end administrative staff.
  • Manage and coordinate staff schedules to ensure adequate operational coverage.
  • Oversee the appointment scheduling process to ensure appropriate client-provider matches.
  • Ensure clear and effective communication across the practice.
  • Manage daily administrative operations across the Virginia and DC locations.
  • Serve as the system administrator for the electronic health record (EHR) system.
  • Act as the primary contact for vendors and facility maintenance needs.
  • Develop operational documents and workflows and update policies and procedures as needed.

Revenue Growth & Performance Management:
  • Manage relationships with third-party partners and service providers.
  • Monitor key performance indicators (KPIs) to ensure operational and financial goals are achieved.
  • Provide weekly and monthly reports on key metrics to the leadership team.
  • Collect, analyze, and report data to support fiscal and statistical analysis.
  • Oversee practice records management functions.
  • Serve as the primary administrative support contact for clinical staff.

Qualifications:
  • Bachelor’s degree required.
  • Minimum 3 years of experience managing front-line personnel and administrative operations in a medical or behavioral health practice.
  • Proficiency with electronic health record (EHR) systems.
  • Strong knowledge of HIPAA regulations and healthcare compliance requirements.
  • Experience with insurance credentialing and contracting.
  • Strong Microsoft Excel and Access skills.
  • Excellent leadership, interpersonal, and communication skills.
  • Strong organizational and time-management abilities with exceptional attention to detail.
